JOB SUMMARY:
We are seeking a detail-oriented and proactive Administrative Assistant to manage the purchasing of office supplies and other materials while supporting daily administrative operations. The ideal candidate will ensure timely procurement, maintain inventory levels, and contribute to smooth office functioning.
KEY RESPONSIBILITIES
• Manage the procurement of office supplies, cleaning materials, equipment, and other operational services.
• Monitor inventory levels and maintain accurate stock.
• Research, evaluate, and select suppliers to ensure quality, reliability, and cost-effectiveness.
• Prepare purchase orders and track deliveries to ensure the timely receipt of goods and services.
• Liaise with vendors and service providers regarding pricing, product availability, delivery schedules, and order status.
• Maintain organized and up-to-date records of purchases, invoices, contracts, and supplier information.
• Provide administrative support, including document filing, scheduling, correspondence, and record management.
• Collaborate with internal departments to identify, coordinate, and fulfill procurement requirements.
• Coordinate with cashiers and relevant stakeholders to conduct textbook stock-in verification and inventory counts.
• Ensure compliance with company procurement policies and procedures.
• Perform other duties and responsibilities as assigned by the Immediate Supervisor.
REQUIREMENT:
• Proven experience as an Administrative Assistant or in a similar administrative role.
• Prior experience in procurement, purchasing, inventory control, or supply management is an advantage.
• Strong organizational, planning, and multitasking skills with the ability to manage competing priorities effectively.
• High level of attention to detail and accuracy in record-keeping, documentation, and data management.
• Strong communication, interpersonal, and negotiation skills.
• Proficient in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.
• Ability to work independently as well as collaboratively within a team environment.
• Good command of written and spoken English.
• Willingness to travel locally, visit suppliers, and conduct market research to source products and services.
QUALIFICATIONS:
• Bachelor’s degree in business administration or a related field (preferred).
• 1–2 years of relevant work experience.
